QuickBooks Desktop Error Messages

You currently have more than 5000 orders or inventory items queued

If you sync too many items to quickly, this error can occur


This error usually happens with the inventory sync from QuickBooks. Connex for QuickBooks has no direct access to your QuickBooks. Our tool downloads products from QuickBooks, then syncs them in batches of 800 to your website. Once the 800 has synced, our tool removes 800 from the queue. 

If you sync orders from QuickBooks, this usually means you did a company file rebuild and you sent several orders to Connex. Rebuilding can cause several hundred sales to sync from QuickBooks, since the rebuild modifies several hundred sales.

The maximum number of items we hold per user is 5,000.

You ask Connex to run an initial sync of all items. You run the connector and more updates try to process, but the queue is already at 5,000 items. Connex can make no new changes, until the queue is clear.


Orders from QuickBooks Class

If you sync orders from QuickBooks to ShipStation, we recommend adding a class on the top right of each QuickBooks sale:

  1. Login to Connex.
  2. Click manage.
  3. Expand orders > sync orders from QuickBooks > class.
  4. Choose a class to sync.

Process the queue

You can clear the queue by running the web connector. The queue is processed each time you run the web connector. It can take 15 - 30 minutes to process. Here are the steps:

  1. Log into QuickBooks.
  2. Go to file and click update web services.
  3. Run the web connector.
  4. Wait 30 minutes.

To view the contents of the queue, follow these steps:

  1. Login to Connex.
  2. Click manage.
  3. Expand inventory > pending inventory to sync.
