Getting started with the Square integration


Connex for QuickBooks syncs sales from Square for Retail Free, Square for Retail Plus, and Square Point of Sale to QuickBooks. Our software will map the billing and shipping information, total merchant fees, line items, and taxes to QuickBooks. Connex can sync stock updates from QuickBooks to Square. Our tool can match settlements from Square with QuickBooks deposits.

How do I pair your app with Square?

To pair Square and our software, follow these steps:

  1. Login to Connex.
  2. On the Connex dashboard, click add a new connection.
  3. Choose Square.
  4. Click submit.
  5. When prompted, click continue and login to Square through our software.
  6. When you return to Connex, complete the install wizard.

How do I ensure that all orders have a billing and shipping address?

If your orders are paid online, then the user's billing and shipping address should appear. If the order is paid using Square POS, our tool maps the cash register's location to QuickBooks. In Square, add an address to each Square location. This address is mapped to QuickBooks sales and the address is used to calculate sales tax.

Do you offer split tender support?

You must choose invoices and payments. A sales receipt only has one tender:

  1. Log into Connex.
  2. Click manage.
  3. Expand orders > sync orders to QuickBooks > transaction.
  4. Choose invoices, payments if paid.

Does Connex match the customer name and contact details to orders?

Yes, Connex will map the customer name and contact details on each order.

How do I choose the locations to sync?

We sync with all locations by default. To sync with certain locations, follow these steps:

  1. Login to Connex.
  2. Click manage.
  3. Click orders > sync orders to QuickBooks > sync manually to QuickBooks.
  4. Enter a list of locations:

How do I add transaction fees from Square?

Here are the steps:

  1. Login to Connex.
  2. Click manage.
  3. Expand orders.
  4. Expand merchant fees.
  5. Enter an item from QuickBooks to track fees.
  6. Click save.

Do you support offline orders?

Offline orders and signed tip orders can be uploaded up to 72 hours after the transaction occurred. If a merchant's Square POS loses internet connection and begins to process orders in offline mode, the orders will not be uploaded to Square's servers until up to 72 hours later. These sales will fail to sync automatically and you must run a manual sync:

  1. QuickBooks Online
  2. QuickBooks Desktop

Can you sync partially paid sales?

By default, we sync sales when they reach completed status. To sync other statuses, follow these steps:

  1. Log into Connex.
  2. Click manage.
  3. Click orders.
  4. Click sync orders to QuickBooks.
  5. Expand sync orders manually to QuickBooks.
  6. Clear the order status field.
  7. Click save.

How do I make stock changes?

In Square, open the item. Under add options, add some options. Add a SKU for each option. Our tool can only make stock updates for products with options:
