How do I merge ShipStation connections?

Why merge?

Connex bills per connection. Connex will count each connection on our dashboard as a single connection. If you have three ShipStation connections, then you have three channels. In this guide, we will discuss merging connections and saving money. Many users created multiple ShipStation connections when a single one was adequate.

Can I merge, if the only difference is customer matching?

In this example, the user has three connections. We will merge the shipstation.com and the 40boxes connection into a single connection because only the customer matching is different:

When you click settings, you notice a few things:

  1. Both the shipstation.com and 40boxes sync invoices and payments.
  2. Both sync sales when they ship.
  3. The only difference is how they match customers:

This can easily be accomplished by a rule:

  1. Go to rules > my rules on the left.
  2. Click add.
  3. Choose map field, based on condition.
  4. Enter these values: rule name is 40 boxes customer, action is map billing company name, map to is 40 boxes and the rule is selling channel equals 40 boxes.
  5. Under the customer settings, choose company name last name, first name as the customer match. The rule will map 40 boxes to the company name field all the time.
  6. Under orders to QuickBooks for the ShipStation connection, enter the 40 boxes selling channel:

What if the difference is transaction type, like sales receipts or invoices?

You can say if selling channel is 40 boxes, then change the transaction type. 

  1. Go to rules > my rules on the left.
  2. Click add.
  3. Choose map field, based on condition.
  4. Enter these values: rule name is 40 boxes customer, action is map transaction type, map to is sales receipts and the rule is selling channel equals 40 boxes.
  5. Under the orders to QuickBooks settings, invoices. Unless the selling channel is 40 boxes, you will sync invoices.
