Should I sync with Authorize.NET?

If you are syncing QuickBooks and your online store, it is unnecessary to sync with Authorize.Net. Your store sends Authorize.Net a copy of the order, so you will get duplicates. You only need this sync if orders from Authorize.Net do not exist in your online store, like phone orders, or if you are not syncing orders from your online store to QuickBooks using Connex.

In many cases, Authorize.NET sends no SKU. You can easily map items by their title. For more info, read this guide.

How do I pair Authorize.Net?

You can login to your Authorize.Net account through Connex and obtain credentials. Connex will store no login, but obtain a special account to sync data:

  1. Login to our software.
  2. On the Connex dashboard, choose Authorize.Net.
  3. On the pop-up, click continue.
  4. Follow the on-screen instructions.

Can you add merchant fees?

Can you map the order item description to a QuickBooks item name or SKU?

Each Authorize.NET order contains a list of line items, which have an order item description. In this example, we will map a description containing ABC to XYZ in QuickBooks:

  1. On the right of our software, click rules engine.
  2. Add this rule. In the areas with all caps, fill in the correct values.
  3. Go to the order previewer.
  4. Enter a short date range.
  5. Check the first tab and see if the data mapped correctly.

How do I change my Authorize.NET code to send SKUs?

Our system will create separate items for tax and shipping. If you see no order details, contact your order management solution provider and ask them to send line item details to Authorize.NET.

Here is how our system maps Authorize.Net's line item object to QuickBooks:

Name Item Name This is the unique identifier to the line. Name is the product SKU.
Quantity Quantity  
Description Description This fills in the order description on the line. If you go the advanced tab on Connex Connector's configure page, you must enter DESCRIPTION to use this value in the QuickBooks order item description. The default is the product's name.
UnitPrice UnitPrice Price per unit
ID Item Name (optional) In some cases, the ID field is the product's SKU. If this field is not a number and it is a phrase, the ID field replaces the name field as the SKU.

 

Can your software sync unpaid invoices for failed transactions? 

By default, Connex skips adding these orders. To enter them as unpaid invoices, follow these steps:

  1. On the Connex configure page, expand orders.
  2. Expand sync orders to QuickBooks.
  3. Expand sync manually to QuickBooks.
  4. Change the transaction drop down to invoices.
  5. Go to the export to QuickBooks tab.
  6. Select a list of cancelled order statuses to export.
  7. Click submit.

How do I sync payments only and not invoices?

The Authorize.NET transaction ID maps to the QuickBooks order number. If Connex detects a duplicate, then Connex skips the order. Connex will apply a payment, if the order exists and it has a balance. On the Connex configure page, select invoices as your transaction mode.

How do I sync recurring payments to QuickBooks?

If Connex detects a recurring payment, Connex will add a dash plus the payment number. If you are syncing the second payment and the order number is one hundred, then the order will become 100-2. This ensures Connex creates a separate order for each payment.

If each payment reduces the balance of a single invoice, you must instruct our software to remove the dash plus the payment number:

  1. On the right of our software, click rules engine.
  2. Click action and upload.
  3. Upload this sheet.

The sheet will instruct Connex to remove the dash plus the payment number.

Can I sync refunds?

You must populate the Authorize.NET invoice number field. Each sale or refund creates a unique transaction ID. If the Authorize.NET invoice number is missing, then our tool maps the transaction ID. If the sale and refund have different numbers, then our tool will create no refund. A matching sale in QuickBooks must exist.

Can I sync sales individually?

Yes, you can sync by transaction ID:

  1. Login to Connex.
  2. At the Connex dashboard page, expand manually sync.
  3. Choose Authorize.NET.
  4. In the order list field, enter a comma separated list of transaction IDs.

Invoice numbers cannot be used at this time.
